Volunteer Position Descriptions
JUDGING:
– 4.5 hour Standing position
– This is the week before Quiltfest
– This is a longer shift than other spots. It is from 7:45-12 or 12:30-5pm.
– You will be on your feet more, unless you are a recorder, then you will sit.
– This is a good opportunity to listen to the judge and learn more about what they look for and how they judge quilts. You must keep quiet.
– This also gives you a preview of some of the quilts to be displayed!
DISPLAY:
PRESHOW Position
– This is a 4 hour shift – This is a Standing/Moving/Able bodies position
– Not everyone needs to do the actual hanging, and NO, you do NOT have to be tall, they have devices that help hang and take down quilts.
– Prepare hardware to hang the quilts on table
– Two people hang each quilt, they have someone else looking at the paperwork to verify the quilt is being placed in the right spot and you pin the tags to the front of the quilts.
– Some people just place paper markers for each row of quilts
AFTER SHOW Position:
– This is a 3 hour shift – This is a Standing/Moving/Able bodies position
– This is where we take down all quilts on display
– Fold quilts and put back into pillow cases to be returned to owners
– Collect all hangers/poles equipment
VOLUNTEER CHECK-IN:
– This is a 2 hours Shift – Mostly Sitting
– You are at the far end of the lobby. There are tables set up and you check the volunteers in and give them their badge for the day and remind them to return the badge at the
end of their volunteer time. (THIS IS NOT FOR SITTING AT THE GUILD TABLE-ONLY QUILTFEST VOLUNTEERING!)
SHOW HOSTESS (WHITE GLOVE):
– This is a 2 hour Standing/Walking position
– Wear comfortable Shoes – the floor is concrete
– You walk up and down assigned aisles and help people look at the quilts without touching them. Gently reminding attendees that only those wearing gloves may handle the displayed quilts.
– You can pull up the corners so people can see the back of the quilts.
VIEWER’S CHOICE/GREETER:
– This is a 2 hour Sitting/Standing position
– You hand out ballots for the viewer’s choice award as attendees come in the door.
QUILTER’S WALK:
– This is a 2 hour Standing position
– Set up includes helping to build up the surface of the tables and draping them in preparation of placing the baskets on them.
– Take down is just the opposite. Take down is usually done by 5pm. This is the baskets that have been donated to raffle off. Most of the time you will be sitting and taking in money and handing out envelopes OR being walking/monitoring the baskets to keep folks honest by keeping them from handling/touching the baskets. Answer questions about what is in the
baskets, etc.
– You tell the customers that they can put them their chances in any of the containers they want that correspond to the baskets with the same
number. They can even put all of them in one if they like. You also tell them to return the envelopes when they have emptied them. Sometimes they need someone to walk along the front of the tables to ensure people aren’t trying to handle the baskets or take anything out of them, also to help people understand what they are to do with all the little numbered squares from their envelopes.
BOUTIQUE:
– This is a 2 hour Standing position.
– You will be setting up display items to hang or place sale items on, and then putting the sale items on the tables, racks, hooks or whatever.
– Take down will be helping to figure out what is left over and who gets what money, plus gathering each person’s left over items. Then taking down the display items.
– The boutique is new this year, but it will be similar to the quilt sale table, you are helping to sell items that various guild members have made. This will more than likely
be an on-your-feet position. But what fun to see all the stuff.
QUILT SALE TABLE:
– This is a 2 hour Standing position
– Set up involves grouping like items and putting them on tables.
– Take down you have to find all the items from each participant that have not been sold. Plus helping as they figure out what each participant is to receive money-wise.
– Participants are to come and pick up their unsold items. This is partially on your feet when it is busy, but they do have chairs there for when it is not busy.
– You help hold up quilts for people to look at. It is nice if you have looked through and can recommend some that they might be interested in if they give you an idea of what they are looking for.
SELFIE BOOTH:
– This is 2 hour shift (sitting/standing)
– Help people take photos using the props provided
– Keep the booth neat and make sure everything stays with the booth.
COMMUNITY SERVICE:
– This is a 2 hour position
– The set up is relatively easy, but you will be on your feet, same with take down.
– Otherwise this is a sit down job.
– You help attendees to sew pillowcases, hearts and me dolls, maybe even some drain caddies.
– Sometimes you may be assisting children to do so.
– Also helping to stuff and whip stitch closed hearts and me dolls.
GUILD TABLES:
– This is a 2 hour shift – SITTING
– The table in front of your guild quilt along at the front wall of the hall.
– This is in two-hour shifts each of three days. You SIT and greet folks as they walk by and ask if they would like a chance at our guild quilt.
– Engage folks by asking where they live, if they are part of a guild and interesting in joining one. Provide information About your guild (meeting times/location/registration/etc.) and/or direct them to one of the other guilds that may be closer to where they live.
– This position is NOT on SignUp, you sign up with your Guild.
SILENT AUCTION:
– This is a 2 hour Standing position
– Set up is helping put up the display pieces and then the silent auction items.
– Take down is just the opposite. You may be on your feet part of the time at this location.
– Pointing out various items that are being auctioned and explaining how the auction works (which you will be schooled on ahead of time).
– This has usually been located on the right hand side towards the front of the hall as you enter.
VIEWER’S CHOICE/GREETER
– This is a 2 hour shift (standing)
– Welcome and Greet guests as they enter
– Hand out Viewer’s Choice ballots and watch ballot box
– Direct folks as necessary and provide Programs
TAKE-IN – PRE-SHOW:
– This is a 4 hour shift (Standing) 10:00 AM to 2:00 PM
– Some details Two ladies for checking the paperwork on the quilts, two for checking the quilts in, two or three “runners” taking the quilts to the examining tables, two to four
for doing the examining of the quilts for eligibility, one overseer. This is a four hour job.
